Office Flooring for Working Buildings
Contract flooring for offices: carpet tiles, LVT and castor chair testing, fitted out of hours with phased handover.
An occupied office does not stop trading because the floor needs replacing. Staff arrive at fixed hours, meeting rooms are booked weeks ahead, and server rooms and reception cannot be closed without notice. Any specification has to start from the building's working pattern, not from the product catalogue, because the fitting programme is what makes or breaks the job.
Facilities managers usually ask for three things at once: a floor that will stand up to daily castor chair traffic and rolling trolleys, a finish that looks presentable to visiting clients from day one, and a fitting programme that does not put desks out of action during the working week. Those three requirements shape product choice as much as budget does.
This page sets out how we approach office specification, from carpet tile against LVT decisions through to method statements, out of hours access and the handover documents a landlord or head office will expect to see. It is written for the person who has to sign off the programme, not just choose the colour.

Carpet Tile Against LVT for Office Floors
Carpet tile remains the default for open plan office areas because it is quiet underfoot, tiles can be replaced individually after a spillage, and it suits raised access floor boxes without disturbing the whole run. Tile backing and pile weight both affect how it performs under a fixed desk pattern that rarely moves.
LVT and vinyl are specified more often for reception, breakout kitchens and circulation routes where spills, wheeled catering trolleys and higher footfall wear carpet pile faster than tile can be replaced. A mixed specification across one floor plate, carpet tile in the workstation zones and LVT in wet or high traffic zones, is now the more common brief than a single product across the whole floor.
- Carpet tile: local replacement, raised floor access, quieter acoustics
- LVT: wipeable surface, better resistance to castor chair scuffing without a mat
- Loop pile carpet tile generally outperforms cut pile under sustained castor use
- Vinyl sheet suits server rooms and comms cupboards needing a sealed, jointless floor
Castor Chair Testing and Heavy Footfall Wear
Office floors take a different kind of wear to retail or domestic floors. It is not footfall alone but repeated castor chair rotation on a fixed spot, which compresses pile or scuffs a vinyl surface long before the rest of the floor shows wear. Product data sheets carry castor chair test ratings and these should be checked against the actual chair type in use, not assumed from carpet type alone.
Where a specification is unclear on chair loading, we ask for the anticipated desk density and chair wheel type before quoting, because hard nylon castors mark a soft-backed tile far quicker than soft wheels on a firmer backing.
| Zone | Typical product | Key wear factor |
|---|---|---|
| Open plan desks | Loop pile carpet tile | Castor chair rotation |
| Reception and lobby | LVT or vinyl sheet | Footfall and visitor impression |
| Breakout and kitchen | Vinyl or LVT | Spillage and wipe down cleaning |
| Server or comms room | Sealed vinyl sheet | Static control and jointless finish |
Out of Hours and Weekend Fitting Around a Trading Building
Most office fit outs are carried out evenings, overnight or over a weekend so that staff return to a finished floor on Monday morning without desks having moved during the working day. This is standard practice for us and the programme is built around building access hours agreed with the landlord or building manager in advance.
Where a full weekend is not available, floors are split into zones and fitted in sequence over consecutive evenings, with each zone made good and safe to walk on before staff arrive the next day.
- Access booked directly with building management or landlord in advance
- Lift and loading bay use scheduled to avoid conflict with other tenants
- Fire alarm isolation and out of hours security sign in arranged where required
- Adhesive selection matched to the reopening deadline, not just the product
Phased Installation, Decant and Furniture Handling
A floor cannot usually be replaced under a full desk layout in one visit. Phasing splits the floor plate into workable zones, moving staff and furniture from one zone to the next as each area is completed, so the business keeps working while the floor is renewed.
Furniture and IT equipment handling is agreed at quote stage: whether our team lifts and resets desks and cabling within a zone, or whether the client's own IT and facilities team handles disconnection and reconnection of equipment ahead of each phase.
Method Statements, Risk Assessments and Site Rules
Every commercial job is covered by a method statement and risk assessment specific to the site, covering access routes, storage of materials, waste removal and any permit to work system the building operates. These are supplied ahead of the job for review by the client's own health and safety contact.
Where a building holds its own site induction, fire evacuation briefing or contractor sign in system, our fitters attend it before starting work, and any building specific rules on noise, lift use or fire door propping are followed for the duration of the job.
Adhesive Cure Time Against a Reopening Deadline
The gap between the last fitting session and staff walking back onto the floor is fixed by the adhesive and any levelling compound used, not by wishful thinking about the calendar. Fast track adhesives and screeds exist for exactly this reason and are specified where the reopening window is tight.
We agree the reopening date at quote stage and select subfloor preparation and adhesive systems that will be fully cured, not just touch dry, by that date, including allowance for ventilation and temperature on site over a weekend when heating may be switched off.
Handover: Cleaning Regime, Waste Removal and Warranty
All packaging, offcuts and old floor covering are removed from site as part of the job and the building's own waste procedures are followed where a managed waste stream is in place. The floor is left clean and ready to walk on at handover.
A written cleaning regime for the specified product is handed to the facilities team, along with product data sheets and the manufacturer's warranty documentation, so future maintenance and any warranty claim can be handled without contacting us first.
- Product data sheets and manufacturer warranty passed to the facilities contact
- Written cleaning and maintenance regime specific to the product installed
- Waste and packaging removed from site in line with building procedures
- Snagging or defects list agreed and closed out before final sign off
Frequently asked questions
- Can the whole floor be fitted over one weekend
- It depends on floor area and the drying time needed for any levelling compound. Smaller office floors are often achievable in a weekend. Larger floor plates are usually phased across several weekends or evening sessions to keep the fitting realistic and safe.
- Do you work around our existing IT and cabling
- Yes. Desk and cable handling is agreed at quote stage, either our team lifts and resets furniture within each phase, or your own IT and facilities team disconnects and reconnects equipment ahead of the fitting window.
- What castor chair rating should we ask for
- Ask for the manufacturer's castor chair test data for the specific product, and tell us your chair wheel type and desk density so the loop pile or backing specified matches how the floor will actually be used.
- How do you handle building access out of hours
- Access is booked directly with your landlord or building management ahead of the job, including lift booking, loading bay use and any out of hours sign in or security procedure the building operates.
- Will you provide a method statement and risk assessment
- Yes, a site specific method statement and risk assessment is provided ahead of the job for your health and safety contact to review, alongside proof of insurance where requested.
- How long before staff can walk on the new floor
- This depends on the adhesive and any subfloor preparation used. We agree your reopening date at quote stage and select fast track materials where the turnaround window is tight.
- Do you remove the old flooring and all waste
- Yes, removal of old floor covering, packaging and offcuts is included and carried out in line with your building's waste procedures where a managed waste stream is in place.
- What documents do we get at handover
- You receive product data sheets, the manufacturer's warranty documentation and a written cleaning and maintenance regime for the product installed, so future upkeep does not depend on contacting us.
